Office Manager (WOMEN ONLY)

We are looking for a skillful female to join our dynamic team at LIFT in Riyadh. LIFT, a new exclusive social art club, aims to offer art lovers the opportunity to chill, experiment & connect with like-minded people in a private space. It provides female creatives the chance to work, network & build new skills. If you are organized, efficient, positive, exceptional and interested in art then you are at the right place. Required skills

- Minimum 3 years of experience in office management or related position
- BS Degree in business management or a related field
- Efficiency in managing the overall office
- Communication and project management skills and open minded
- Willingness to work independently as well as learn and collaborate within teams / parties
- Readiness to adapt to various kinds of requests and wear many hats
- High attention to details, great in follow ups and organizational skills
- Leadership skills and the motivation to work and drive a startup concept
- Knowledge or interest in art, photography or design is a plus

Responsibilities

Managing Operations
Manage the day-to-day operations in the office from organizing meetings to managing database and ensuring the highest level of efficiency within the organization.

Coordinating with Suppliers
Coordinate with suppliers of different aspects relating to Lift for example: suppliers for art, f&b, landlord, events, maintenance, etc. and get quality service from them based on the needs of the organization, also being in charge of all their contracts and payments.

Managing Budgets and Schedules
Manage budgets and schedules throughout the process. Scheduling meetings for management, collaborations for events and events for clients. Managing end of months budget.

Guiding Events
Creating monthly event calendars and quarterly changing themes for the club. Organizing events, dealing with 3rd parties, building potential collaborations and sharing them digitally; building relationships with members by notifying them of any changes that may occur, and overseeing the execution carried out by the suppliers to ensure that everything is on the right track.

Administrative Support
Provide admin support to executive and office staff, managing the calendars proactively, travel support, expense management and basic reporting and ensuring the overall flow of operation is running smoothly.

Maintaining Office Services
Organizing office procedures by preparing payroll, controlling correspondence, and designing filing systems

Reporting Directly To The Founder
Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.

Office Supplies
Keeping track of office stock on hand to ensure that no products are missing; ordering office supplies, updating vending machine, kitchen isle (food, coffee, etc…), toiletries,  in a timely manner matching with the best prices in the market.

HR & Members Application
Support management in determining staff needs; organize and maintain employee leave records and distribute shifts accordingly; assist with employees end of month payroll. 

Accounting
Responsible for basic accounting and administrative matters of the company. Working on revenues and expenses to come up with a yearly balance report accordingly; controlling membership payments online.

Customer Relations
Building and maintaining relationships with clients. Carrying out client satisfaction surveys and reviews. Monitoring club’s performance against service level agreements and flagging potential issues. Managing memberships. Responsible for assuring; welcome kits, membership cards, orientations, emails and upholding house rules. Meeting on a monthly basis with management to decide upon new members’ application & renewals.

Working Hours*: 10:00 AM - 7:00 PM (+ one hour lunch break)
Working hours might change according to events and monthly schedule, but the working hours will remain 40 hours a week. 

Benefits:
- Bonus will be given based on performance and meeting sales KPIs

Working hours / Working Days may increase or vary only during high season.
